Definitions
For clarity in this policy:
- “Participant” refers to any individual who has submitted a booking and paid a £300 deposit on a Ma Pamboli Retreat.
- “Retreat start date” refers to the first scheduled day of the retreat.
- “Deposit” refers to the non-refundable £300 required to secure a place on a retreat.
- “Balance payment” refers to the remaining retreat fee due from the participant.
- “Two and a half (2.5) months before the retreat start date” means seventy-five (75) calendar days prior to the first scheduled day of the retreat.
- “Thirty (30) days before the retreat start date” means thirty (30) calendar days prior to the first scheduled day of the retreat.
- “Organiser” refers to Ma Pamboli Retreats, responsible for the planning and delivery of the retreat.
Deposits & Payments
Booking Confirmation: A booking is only considered confirmed once the deposit has been received. Enquiries or expressions of interest do not guarantee a place until payment is made.
Deposit: A non-refundable and non-transferable deposit of £300 is required to secure your place on any Ma Pamboli Retreat.
Balance Payment: The remaining balance is due no later than two and a half (2.5) months before the retreat start date.
If the balance is not received by this deadline:
- The booking will be treated as a participant cancellation.
- The deposit will be retained.
- The place may be offered to someone on the waiting list.
Payment reminders will be sent prior to the due date.
Travel Arrangements: Participants are responsible for arranging and managing their own travel. Ma Pamboli Retreats is not liable for travel delays, cancellations, or associated costs.
Cancellation & Refund Policy
Cancellations Made More Than Two and a Half (2.5) Months Before the Retreat Start Date
If you cancel your participation more than two and a half (2.5) months before the retreat start date and before paying your remaining balance, your £300 deposit is non-refundable and non-transferable. However, payments made (excluding the non-refundable deposit) may be applied as a one-time credit toward a future retreat occurring within twelve (12) months of the originally scheduled retreat date, subject to availability and at the sole discretion of the organiser.
Cancellations Made Between Two and a Half (2.5) Months and Thirty (30) Days Before the Retreat Start Date
If you cancel your participation after the balance due date (2.5 months before the retreat) but more than thirty (30) days before the retreat start date, your £300 deposit is non-refundable and non-transferable. Any additional payments made up to that point will also be non-refundable. No credits or refunds will be issued under any circumstances.
Cancellations Made Within Thirty (30) Days of the Retreat Start Date
Cancellations made within thirty (30) calendar days of the retreat start date will result in the forfeiture of all payments made, including the deposit. No refunds, transfers, or credits will be issued, regardless of the reason for cancellation, including illness, travel disruption, or personal emergency.
No Shows & Early Departures: No refunds or credits are provided for no-shows, late arrivals, or early departures.
Transfer of Reservation: You may request to transfer your reservation to another individual up to five (5) calendar days before the retreat start date. The five-day period is calculated by counting backward from 00:00 (midnight) on the retreat start date, including weekends and holidays.
For example, if the retreat begins on 10 October, transfer requests must be received no later than 4 October at 23:59.
All transfer requests must be submitted in writing via email to info@mapamboliretreats.com and are subject to approval by the organiser. No transfers will be permitted within five (5) calendar days of the retreat start date.
How to Cancel: All cancellation requests must be submitted in writing via email to info@mapamboliretreats.com. The date of receipt of the written cancellation will be considered the cancellation date.
Refund Processing: Approved refunds will be processed within 14 business days of the cancellation confirmation.
Cancellations by Us: Ma Pamboli Retreats reserves the right to cancel or reschedule a retreat when necessary. In the unlikely event that we cancel a retreat, participants will be offered the choice to:
- Transfer all payments made (excluding the non-refundable deposit, if applicable) to another scheduled retreat, or
- Receive a refund of all payments made to date (excluding the non-refundable deposit, if applicable).
Ma Pamboli Retreats is not liable for any additional costs incurred by participants as a result of a cancelled retreat. This includes, but is not limited to, travel expenses, accommodation, insurance costs, or any other associated losses.
Force Majeure / Unforeseen Circumstances and Health & Illness Policy
Force Majeure / Unforeseen Circumstances: Ma Pamboli shall not be held liable for any delay, cancellation, or alteration of the retreat due to circumstances beyond their reasonable control. This includes but is not limited to: natural disasters, acts of God, war, terrorism, civil unrest, labor strikes, pandemic, government restrictions, public health emergencies (including COVID-19), travel bans, or airline cancellations.
In such cases, no refunds will be issued. However, participants will be offered a credit equal to the amount paid (excluding the deposit), which may be applied to a rescheduled or future retreat within twelve (12) months, subject to availability.
Health & Illness Policy (Including COVID-19): Participants are responsible for ensuring they are in good health and able to travel and participate in the retreat. No refunds or credits will be provided if you are unable to attend due to illness, including testing positive for COVID-19, or for any related travel disruptions.
It is strongly recommended that participants obtain comprehensive travel insurance that includes coverage for illness, cancellations, and travel interruptions.
Participant Conduct & Use of Property
Behaviour:
Participants are expected to behave respectfully and responsibly at all times during the retreat. Any behaviour that is disruptive, unsafe, or negatively affects other participants, Ma Pamboli staff, or the venue may result in immediate removal from the retreat without refund.
Use of Facilities and Furniture:
Participants agree to use all venue facilities, equipment, and furniture with care. This includes (but is not limited to) bedrooms, common areas, outdoor spaces, hot tubs, pools, fitness equipment, and retreat materials. Any damage caused by negligence, misuse, or intentional actions may result in the participant being held financially responsible for repair or replacement costs.
Safety:
Participants must follow all safety instructions provided by Ma Pamboli staff and venue hosts. This includes guidelines for using equipment such as hot tubs, pools, saunas, kitchen appliances, or outdoor facilities.
Restricted Activities:
The following are strictly prohibited at all retreat venues:
- Smoking inside or in non-designated areas
- Unauthorised use of appliances or restricted spaces
- Bringing non-participants into the venue
- Excessive noise or disturbance beyond agreed quiet hours
- Possession or use of illegal substances
Respect for Others:
Participants must respect the privacy, well-being, and personal boundaries of other attendees and Ma Pamboli staff. Harassment, discrimination, or inappropriate behaviour will not be tolerated.
Failure to Comply:
If a participant breaches any of the above terms, we reserve the right to remove them from the retreat without refund and to recover costs for any damage caused.
Lost Property
Any items left behind at the retreat venue can be returned to you by post, provided their value does not exceed £100. Postage costs must be paid in full before items are dispatched. Alternatively, you may arrange to collect your items in person.
Requests for collection or postage must be made within one month of your departure date. After this period, any unclaimed items may be disposed of or destroyed at the organiser’s discretion.
Valuables
Participants are solely responsible for the safety and security of any money, jewellery, electronic devices, or other valuables brought to the retreat. The organiser cannot accept responsibility for the loss, theft, or damage of personal belongings at any time.
If you choose to bring valuable items, you must ensure that they are covered by your own insurance policy for the full duration of your stay.
To the fullest extent permitted by law, the organiser shall not be liable under any circumstances for any loss, damage, injury, or consequential loss suffered by participants, regardless of the cause.
Photo/Video Release
Please be aware that filming and photography will take place during the retreat for promotional purposes. By attending the retreat, you grant permission for photographs and videos taken during the event to be used for marketing and promotional content.
If you do not wish to be featured in media content, please notify us in advance.
Intellectual Property Rights
Any content or materials provided during the retreat are protected by copyright and intellectual property laws.
You may not reproduce, distribute, or share any materials without the explicit permission of the organiser.
Participant Acknowledgement and Waiver of Liability
By attending a Ma Pamboli Retreat, all participants acknowledge and agree to the following:
- Participation in retreat activities, including but not limited to workouts, swimming pool and hot tub use, wild swimming, hiking, and consumption of meals, carries inherent risks.
- Participants take part in all activities at their own risk.
- The Retreat, its organisers, staff, and affiliates do not accept any liability for injury, illness, loss, damage, or harm that may arise during or as a result of participation in any activity, including the use of facilities and equipment.
- Participants are solely responsible for assessing their own physical and mental fitness and should seek medical advice where necessary.
- Participants must inform the organiser of any medical conditions, allergies, or dietary needs before arrival.
- Participants understand they are being charged in Great British Pounds (GBP, £). The final amount shown on their bank statement will depend on the exchange rate applied by their bank at the time of processing. Ma Pamboli charges are made in GBP and has no control over international exchange rates.
By paying your deposit, thereby confirming your booking, you acknowledge that you have read, understood, and agreed to the above terms and conditions.
